Operational Policies and Facility Use Regulations
 

DEPOT MEETING CENTER
The Depot Meeting Center is open to senior citizens 60 years of age or older and those accompanying them, Monday through Friday, 8:30 a.m. - 4:00 p.m. The Department of Senior Services schedules activities, programs and bus trips, some of which require a participation fee. The department also acts as an information and referral center, and offers services, assistance, and support programs for senior citizens.

BUS TRANSPORTATION RULES
Bus transportation service operating on a fixed route schedule is open to all 60+ years of age, Mon. - Fri., 8:30 a.m. - 3:45 p.m. Pre-registration for bus transportation service is required. Call the Depot office, 245-5627 to schedule a ride, 48 hours notice required. Regular fixed?route riders need only call to cancel a ride. Bus drivers are responsible for passengers from curb?to?curb. Bus service rules require that all riders be able to enter the bus without assistance or use the handicapped lift if necessary. Passengers are to be seated and seat belts fastened at all times. Passengers are not allowed to stand up prior to the bus coming to a full stop. Failure to follow operating rules will be grounds for suspension. Individuals experiencing unstable health conditions or problems may be requested to refrain from using bus transportation services.

GROCERY SHOPPING
Thursdays, 4 bags of groceries, maximum.

REGISTRATION PROCEDURES FOR TRIPS AND PROGRAMS
All fee-based programs require payment upon registration. Checks should be made payable to the Town of Madison. Registration opening dates are published in the Depot Express newsletter along with trip and program information. Seat and ticket assignments for bus trips are based on order of registration. Waiting list names are taken for all programs. No refunds will be issued unless the seat can be filled from the waiting list. If seat is filled from the waiting list, a refund will be requested through Town Finance Department and mailed to the participant. Refunds may take up to 2 weeks to be issued. Bus trips utilizing the senior bus instead of a coach bus will be so advertised. Number of senior bus passenger seats is limited to 20. A Personal Care Provider must accompany participants who need one-on-one assistance. Program and bus trip participation during periods of unstable health conditions isn't recommended as it may cause problems for other participants.

ELDERLY NUTRITION PROGRAM
The Elderly Nutrition Program offers a daily hot lunch program. Reservation for lunch must be made 24 hours in advance for regular lunches and one week in advance for special lunches. Menus are published in the local newspaper and in the senior center newsletter. A suggested donation per meal is posted at the lunch site. Call 245-5686 to make a lunch reservation.

GENERAL RULES
The Director of Senior Services and the Madison Senior Citizen Commission are responsible for establishing operation rules and program policies for the overall benefit of all senior citizens utilizing the services of the department. The Director is responsible for reviewing and handling all participant complaints, health problems that may limit program participation, and behavioral and health problems that adversely affect other senior center participants. Behavior problems may result in suspension of participant's right to attend programs sponsored by the department.

For safety and liability reasons, participants in programs at the Depot Meeting Center, at sponsored events, and on bus trips must be able to care for themselves or be accompanied by a Personal Care Provider. Personal Care Providers are competent individuals who provide one-on-one caregiving services to a specific client.

The department staff cannot monitor and assist clients who need one-on-one care.

Clients experiencing memory loss or confusion problems require the services of a Personal Care Provider to participate in department sponsored programs and trips.For safety and liability reasons individuals with unstable health conditions or problems may be requested to refrain from attending programs, events, ride on the senior bus, or participate in bus trips, due to health, environment, and liability concerns.

NEWSLETTER REGISTRATION
The Department of Senior Services offers a monthly newsletter, "The Depot Express". It is sent free of charge to registered seniors. Call the Depot at 245-5627 to register. For a fee out of town seniors may receive "The Depot Express."

SOLICITATIONS
No solicitations or private sales may take place in the Depot Meeting Center. Program presenters may provide information but can not solicit business.

CHARITABLE CONTRIBUTIONS AND SOLICITATIONS
No organization may solicit contributions, sell fund raising items or raffle tickets, without the permission of the Director of Senior Services.

GRATUITIES AND GIFTS
Town of Madison employees are paid to perform their assigned duties and should refrain from accepting gifts or other favors where it might appear that these are designed to influence the individual in the performance of his/her duties. Permissible are the acceptance of gifts of a small value which are of such nature as to indicate tokens of respect or friendship.

DONATIONS
The Department of Senior Services does accept material donations that can be used to benefit senior citizen programs. Also, monetary gifts may be made to the "Depot Donation Fund." These funds are used by the Commission to enhance senior programs and activities.

FACILITY AND RENTAL USE
The Depot Meeting Center, a Town of Madison facility, consists of three (3) program areas. It is available for use by town agencies, boards, commissions, and civic organizations, during the hours when it is not in use by the Department of Senior Services. It is also available for rent, by groups or agencies, providing they meet specific town residency, use and attendance requirements.Facility use requests are made at the Department of Senior Services office. The requesting group is required to fill out a facility use form which will be reviewed by the Director of Senior Services. No use will be authorized until the Director has signed off on the facility use form.

The Director will determine space availability, set use guidelines, and determine rental fee based on the number of hours of requested use.

  • Maximum rental time: 5 hours.
  • A refundable rental security deposit is required for use.
  • A non-refundable alcohol fee will be charged for any group wishing to serve alcohol on the Depot property.
  • All use fees are paid to the Town of Madison and must be paid in advance of date of use.
  • A separate $5.00 fee is charged for the facility key. The key may be picked up 24 hours in advance of use and must be returned on the next business day. Upon return of the key, the $5.00 deposit will be returned.
