SMALLPOX MASS VACCINATION CLINIC READINESS PLAN FOR REGION 21
(Comprising the towns of Branford, East Haven, Guilford, Madison and North Branford)

 

Mass smallpox vaccination clinics will require large numbers of volunteers. Some of these volunteers will need to have medical qualifications, (Physicians, Nurses, Pharmacists) but most volunteer tasks will be appropriate for the general public.

The following is a general description of volunteer tasks and the number of volunteers needed per day for each task at each of the two vaccination sites. More detailed, site-specific instructions will be added to this website in the future.

List of Non-Medical Volunteer Positions Needed for Mass Smallpox Vaccination Clinics:

Volunteer Coordinator: 4 needed per day. Volunteer Coordinators will oversee scheduling all volunteers and ensuring that there are adequate numbers of volunteers at each task station throughout the clinic.

Forms/Info Packet Distribution Personnel: 18 needed per day. Forms/Info Packet Distribution personnel will put together patient forms and information packets and hand these out to all patients.

Video Orientation Personnel: 16 needed per day. Video Orientation personnel will run a prepared 20-minute informational video about clinic procedures, paperwork, smallpox disease, the smallpox vaccine, vaccine contraindications and side effects. All persons that wish to receive the vaccine must view this video.

Referral Personnel: 32 needed per day. Referral personnel will look at completed medical forms of each patient and direct those without questions or contraindications to vaccine stations and those with questions or contraindications to Medical Screeners.

Medical Records/Data Entry Personnel: 20 needed per day. Medical Records/Data Entry personnel will collect patient and vaccine records and enter information into a prepared database.

Clinic Managers: 4 needed per day. Clinic Managers will oversee all functions of the clinic and allocate personnel and supplies as needed.

Supply Managers: 4 needed per day. Supply Managers will oversee all supply needs and distribute supplies to task stations as needed.

Clinic Flow/Helper Personnel: 20 needed per day. Clinic Flow/Helper personnel will maintain clinic flow, assist with filling out, retrieving and delivering forms and clipboards.

Security Personnel: 40 needed per day. Security personnel will maintain crowd control outside and provide security inside clinic as well as assist with traffic control.

Traffic Flow Personnel: 4 needed per day. Traffic Flow personnel will maintain traffic flow and order in outside parking areas.

Translators: 2 needed per day. Translators will translate for those patients that do not speak English well enough to make informed medical decisions. It will be impossible to identify ahead of time the languages for which translators will be needed. If you speak another language (in addition to English) and know of others in your family or community that only speak this other language, we will need you to translate.

Float Personnel: 6 needed per day. Float personnel will be available to assist other personnel as needed.

Information Technology Personnel: 2 needed per day. Information Technology personnel will assist with computer hardware and software programming and maintenance needs.

In addition to these defined positions, additional General Support, Mental Health and Transportation assistance may be needed.

If mass vaccination is initiated, volunteers will be advised to check this website for detailed information as to their work assignments and hours of volunteering. Parking at both clinic sites will be at a premium and it is anticipated that a shuttle bus will be used to transport volunteers between the two clinic sites and more convenient parking. Volunteers will be provided an identification card for access to the clinic sites.

Food, beverages and snacks will be provided to the clinic volunteers. The selection will necessarily be very limited. If you have special dietary needs or prefer your own cooking, you should plan to bring your food. There can be no guarantee of refrigeration for volunteer's food.
